Filter Mailing <\/h1>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/section>\n\t\t\t\t

You may wish to mail only parts of your job, perhaps as a random sampling or to addresses meeting specific requirements. By selecting Filter Mailing from the Address Management menu, you can decide how many addresses and which addresses you want to use for your mailing.<\/span><\/p>

After selecting Filter Mailing, you have several options to choose from. You may choose one of the following tab options:<\/span><\/p>

  • Demographics:<\/span><\/strong><\/li>
  • \u00a0Intelligent Selection:\u00a0<\/strong>Allows you to select your mailing by removing States\/Provinces, Cities, Address Types and\/or FSA<\/span>OM<\/span>s (Canada)\/<\/span>Zip Code<\/span>TM<\/span>\u00a0(US).<\/span>
    <\/span><\/li>
  • Random Selection:<\/span>\u00a0Allows you to choose a sample mailing from within your database.<\/span><\/span><\/li>
  • SQL Exclude:<\/span>\u00a0An expert filter, which allows you to craft a database query to remove records from your database.<\/span><\/span><\/li>
  • Address Filter:<\/span>\u00a0A\u00a0combination filter allowing exclusion based on correction types, files or blank lines.<\/span><\/span><\/li>
  • Extra Characters:<\/span>\u00a0Removes symbols and other characters that represent commands in certain database formats. These symbols and characters can impact printing of files later.<\/span><\/span><\/li>
  • Custom Exclude:\u00a0<\/span>An advanced custom filter that allows you to filter based on specific rules.<\/span><\/span><\/li>
  • Geocode Filter (Canada Only):<\/span>\u00a0If you have run Geocoding with a distance list, you may filter out records based on distance.<\/span><\/span><\/li><\/ul>

    Demographics<\/span><\/span><\/strong><\/span><\/span><\/p>

    You may access the demographic categories through the \u201cFilter Mailing\u201d tab iAddress\u2122.\u00a0 Here you have the option to select demographic categories and sub-categories to filter by and apply to your mailing list.<\/span><\/p>

    Here you will be prompted to confirm that you agree to the charges associated with the amount of demographic records listed. \u00a0You may click yes or no.<\/span>
    <\/span><\/p>

    A demographics filter report is then generated where you can view all the categories and sub categories you selected along with the amount of records purchased, and other pertinent information.<\/span><\/p>

    Intelligent Selection<\/span><\/span><\/strong>
    <\/span><\/span><\/p>

    Excluding Addresses<\/span><\/span><\/p>

    Using the Intelligent Selection Tab, you can delete addresses from your job based on the following criteria:<\/span><\/span><\/p>

    • Province\/State<\/span><\/li>
    • City<\/span><\/li>
    • Address Type (eg. apartments, residences, etc.)<\/span><\/li>
    • (Canadian Mailing)<\/span>\u00a0FSA<\/span>OM<\/span>\u00a0(first three characters of the Postal Code<\/span>OM<\/span>), the first four or five characters \u00a0of the Postal Code<\/span>OM<\/span>, or the entire Postal Code<\/span>OM<\/span>.<\/span><\/span><\/li>
    • (US Mailing)<\/span>\u00a0Three or five digits of the Zip CodeTM<\/span>.<\/span><\/span><\/li><\/ul>

      \u00a0Scroll through the lists to view the options within each criteria. The number of records that match that filter option are listed after each item. In order to\u00a0<\/span>exclude more than one item \u00a0from each criterion, select the first one and click the Exclude button. Select the second item and click the Exclude button. When you are satisfied with your choices, click \u201cDone\u201d.<\/span><\/span><\/p>

      \u00a0<\/span>Selecting a Sample Mailing<\/span><\/strong><\/span><\/p>

      To prepare a random sample from your database, click on the \u201cRandom Selection\u201d tab.\u00a0<\/span><\/span><\/p>

      • Enter the number of records. After pressing \u201cSelect\u201d, the total number of records in the database is changed to the number you selected. You may still exclude addresses from this sample using the Intelligent Selection and Exclude Tool options.<\/li>
      • If you select the \u201cFilter Only Uncorrectables\u201d option then the records that are discarded will come only from the uncorrectable records.\u00a0 If you do not have enough uncorrectable records then nothing will be filtered and you will be informed.<\/li><\/ul>

        Custom Exclude Tool<\/strong><\/span><\/p>

        • Using the Custom Exclude Tool allows you to remove addresses based on very specific criteria from any field within your database. Click on the tab labeled \u201cCustom Exclude Tool\u201d. \u00a0Select the field you wish to use from the Filter Where drop down.<\/li>
        • The center drop down menu contains the selection operators. Empty fields can be detected using \u201d is null \u201d or non-empty fields with \u201d is not null \u201c. Comparing alphanumeric \u00a0fields can be done using the \u201d like \u201d operator with wildcard characters. For example \u201d *main st \u201d would select anything that ended in \u00a0\u201d main st \u201c. For numeric fields, these include such operands as +, -, =, >, <.<\/li><\/ul>

          SQL Exclude<\/strong>
          <\/span><\/p>

          • The SQL Exclude tool is an advanced form of Custom Exclude tool allowing you to create your own SQL \u2018 where \u2018 clauses.<\/li>
          • The fields on the left are listed as a reference but can also be inserted in the \u00a0WHERE clause text box by double clicking the field name.<\/li>
          • To \u00a0generate the WHERE clause simply type the entire statement in the WHERE clause text box. \u00a0The WHERE clause text box does not require the word \u2018 Where \u2018 simply begin from the first statement, for example CITY= \u2018Buffalo\u2019 AND STATE= \u2018New York\u2019 to select all records that match to the city of Buffalo and the state of New York.\u00a0<\/span><\/li><\/ul>

            Address Filter
            <\/span><\/strong><\/p>

            Address Filter tab has three specific functions.<\/span><\/p>

            Select Records
            <\/span><\/strong><\/div>

            The first allows you to remove records based on their correction status. \u00a0Please note, that you must run a Correction\/Validation before these options become available. These status types are:<\/span><\/p>

            • Uncorrectable<\/span><\/li>
            • Questionable<\/span><\/li>
            • Corrected<\/span><\/li>
            • Valid<\/span><\/li>
            • Foreign<\/span><\/li>
            • Uncoded<\/span><\/li><\/ul>

              Select the type(s) of addresses you want to remove by checking the appropriate boxes. Click Exclude.<\/span><\/strong><\/p>

              • \u00a0<\/strong>Select files:\u00a0may specify which records you want removed by the originating source file. \u00a0To do this, select the record type \u00a0and then files(s) from which you want the records removed.<\/span><\/li>
              • \u00a0Blank lines: to remove addresses which do not contain data in certain fields, select the \u201cBlank Lines\u201d tab. \u00a0Click the field you wish this condition to apply to and select \u201cExclude\u201d<\/span><\/li><\/ul>

                Extra Characters<\/span><\/strong><\/p>

                • If your database contains symbols or characters within the data, you can remove them automatically by using the Extra Characters screen. Select the characters you wish to have removed, or leave the defaults if you are not certain. After selecting \u201cReplace\u201d, iAddress\u2122 will tell you how many extra characters were found and replaced within your file.<\/li><\/ul>

                  Geocode Filter (Canada Only)<\/span><\/strong><\/p>

                  • After you have run Geocoding on your file, you can use the filtering tool for targeted mailings. \u00a0On this tab you can remove records from your database based on Geocoding results.<\/li>
                  • \u00a0You may filter out all records that are closer, or further then a specified distance with the Filter by Distance text boxes. \u00a0You can also Filter by Pieces, which will remove the specified number or farthest or closest records. \u00a0Checking the \u201cFIlter Non-Geocoded Addresses\u201d option will remove any records that were not geocoded.\u00a0\u00a0<\/span><\/li><\/ul>

                    Important!<\/span><\/strong><\/p>

                    Filtering records permanently changes your job.\u00a0\u00a0If you wish to keep your original job, ensure you have saved your job\u00a0<\/span>before\u00a0filtering. Save your filtered job with a different name.<\/span><\/p>

                    After Filtering<\/span><\/strong><\/p>

                    After filtering your records, you can choose to View, Restore, Clear, Export, or Save those filtered records.<\/span><\/p>

                    \u00a0View<\/span>
                    Clicking \u201cView\u201d will show the filtered records in a database view.<\/span><\/p>

                    \u00a0Restore<\/span>
                    Clicking on the \u201cRestore\u201d button will remove all your filters, and restore all the filtered records to the job. \u00a0This only works if you have not cleared the filtered records using the \u201cClear\u201d button.<\/span><\/p>

                    \u00a0Clear<\/span>
                    Clicking on the \u201cClear\u201d button will permanently remove all the filtered records from the job.<\/span><\/p>

                    Exporting Records<\/span>
                    If you wish to export your filtered records to a separate database, select the \u201cExport Filtered\u201d button and choose a name for your new file.<\/span><\/p>

                    Saving Records<\/span>
                    If you wish to have your filtered records split to a separate iAddress\u2122 job, select \u201cSave Filtered\u201d button and choose a name for your new job.<\/span><\/p>

                    Restoring Records<\/span>
                    To restore filtered records, click the Restore Filtered Records button. \u00a0Records that have been removed using Clear button cannot be restored.<\/span><\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/div>\n\t\t\t\t
